Sales troubleshooting guide
Public launch works best when blocked teams can recover on their own. This guide covers the main Gixo Sales failure points: team context, mailbox health, team-scoped sequences, send blockers, and reply handling.
Common launch blockers
If Sales feels half-working, the cause is usually narrow and fixable. Start with the blocker that matches what the team sees in Today, Prospects, Inbox, or Sequences.
Team context
No active team or the wrong team is selected
Sales is team-scoped by default. If the wrong team is active, the mailbox, prospects, and sequences will not line up.
- Open Today and confirm the active team first.
- If the queue says to pick a team, do that before troubleshooting anything else.
- Keep mailbox, prospects, and team sequences inside the same active team.
Mailbox
Mailbox disconnected, stale, or not syncing
Reply-driven pauses and inbox review depend on the shared team mailbox staying healthy.
- Open Inbox and reconnect Gmail or Microsoft 365 if the warning says the connection is stale.
- Use Sync after reconnecting to refresh the latest team messages.
- If sends are blocked, resolve mailbox warnings before troubleshooting sequences or prospects.
Sequences
No enrollable team sequence is available
Only team-shared sequences can be enrolled into team prospects. Personal drafts stay private unless duplicated into the team.
- Open Sequences and switch to the Team view.
- Create a new team sequence or use Duplicate to team from a personal draft.
- Do not expect personal sequences to appear as valid enrollment choices for team prospects.
Sends
A prospect cannot be enrolled or sent to
Most send blockers come from missing prospect state, mailbox state, or trying to use the wrong sequence scope.
- Make sure the prospect belongs to the active team and has a real email address.
- Enroll the prospect into a team-shared sequence before sending the next step.
- If you only need a one-off email, use quick send instead of forcing a broken enrollment.
Recovery flow
Work through these checks in order. That is faster than bouncing between Sales surfaces randomly.
1
Confirm the active team
Make sure the team owning the workflow is selected before opening Today, Inbox, Prospects, or Sequences. This is the first thing to fix when the workspace feels empty or mismatched.
2
Reconnect or sync the shared mailbox
If Inbox or Today shows a mailbox warning, resolve it before expecting reply sync, pauses, or sends to behave correctly.
3
Create or duplicate a team-shared sequence
Open Sequences and make sure there is at least one team sequence available for the active team. If the draft is personal, duplicate it into the team first.
4
Fix enrollment or send blockers on the prospect
Open Prospects, confirm the email address and enrollment state, then either send the current stage or use quick send for a one-off reply.
5
Review replies and send the follow-up manually
Use Inbox to classify the reply, generate a recommended follow-up, copy the best version into the composer, and send manually. AI stays preview-first by design.
Frequently asked questions
What should I check first when Gixo Sales is blocked?
Check the active team first. Then verify the shared mailbox connection, make sure a team-shared sequence exists, and confirm the prospect can be enrolled or sent to.
Why can I see a sequence but not enroll a team prospect into it?
Only team-shared sequences can be used for team prospects. Personal sequences need to be duplicated into the team first.
What happens if the mailbox is stale or disconnected?
Today and Inbox will surface the warning. Reconnect or sync the mailbox before expecting reply-driven pauses or sending to behave normally.
Can AI send a reply automatically after a recommendation is generated?
No. AI can recommend a follow-up, but a person still needs to review and send it. That is part of the product's public launch safety model.
